Without signing in, your tasks, saved activities, optional locations, schedules, recurring activities, preferences and focus-room history are saved in this browser. Clearing browser data can remove this copy. Download a backup from Account & backups to keep a separate copy.

When you use an account

When accounts open, Supabase will handle authentication and store your organiser for cloud saving. We use your account email and account ID to identify your organiser. A local copy lets you keep working when the connection is unavailable. Your device organiser is only imported into an account when you choose to do so.

When you choose AI

Personal AI requires a paid Plus or Pro plan. Free accounts receive no personal AI allowance. An invited guest can use shared-time AI when their paid host enables sponsorship; this uses the host’s existing credits. After you give permission and select an AI action, PlanAroundMe sends your goal, active task titles, task estimates, deadlines, priorities, categories and chosen profile to OpenAI to produce planning suggestions. Manual scheduling, the energy slider, quick picks, day rescue and the focus room work without sending those requests to OpenAI.

Successful AI results and usage records support credit accounting and prevent duplicate requests. OpenAI’s own data-processing and retention terms also apply. Review suggestions before applying them.

Your AI helper and voice notes

With your consent, the helper sends your message, up to four short recent conversation messages and a limited selection of relevant organiser details to OpenAI. This can include tasks, saved activities, locations, calendar blocks, shared activity titles, availability and preferences. It never sends the other participant’s private calendar.

The microphone records only after you press Talk to me. Voice notes are limited to 30 seconds; you can listen back or discard them before sending. OpenAI transcribes the recording and prepares a reply. PlanAroundMe does not retain the audio after the request. Transcripts, proposed actions and successful replies are retained with usage records for safe retries. Your on-screen conversation clears when you choose Close helper. While the companion applies changes, the minimised conversation stays in memory so you can return to it or undo the change. The character’s animations and demonstration do not send information to AI. OpenAI’s own retention terms apply.

Changes are suggestions until you select Apply changes. Shared times still require the other participant’s approval. The helper cannot purchase subscriptions, change payment details or override account permissions.

Optional travel planning

On Plus and Pro, you can choose to send the addresses for a route to Geoapify for location matching and journey estimates. It receives those addresses and coordinates, but not your task titles or account details. Saved locations are not sent automatically. Review the matched addresses before applying the route. Route results and usage records are stored for credit accounting and safe retries. Geoapify uses OpenStreetMap data, and its processing terms also apply.

Plan together

The host needs Plus or Pro; an invited guest can use the Free plan. Creating or accepting an invitation lets PlanAroundMe compare your saved calendars for that plan. The other participant sees the shared activity, mutual free times and scheduling requests, but not your tasks, other activities or account email. Invitation links can be used once and expire after seven days; share them only with the intended person.

Time changes need approval from the other participant. The confirmed booking stays in place until approval. Either participant can cancel, which releases the time in both organisers. Updates appear as in-app notifications while PlanAroundMe is open. Availability matching does not send your calendar to an AI provider or use AI credits. Optional shared-time suggestions send only the shared activity, candidate mutual times, time zones and selected preference to OpenAI. One successful suggestion uses one host credit. Hosts can pause guest AI or cap guest spending per plan; personal AI is excluded. Requests are attributed to the participant who used them for accounting and safe retries.

Optional calendar connections

Connecting Google Calendar and Tasks or Microsoft Outlook and To Do uses the provider’s permission screen for read access. Connection tokens are encrypted and stored on the server, scoped to your account. You select calendars and lists, refresh a preview, and approve imported copies. There is no automatic background sync or writing back to your original calendar. Disconnecting deletes our stored tokens; imported copies remain until you remove them. You can revoke the provider’s permission in its account settings.

Calendar files and pasted reminders are parsed in your browser. They follow your normal organiser saving settings after you import them. Connecting or importing does not send information to AI. Apple’s native calendar and reminder permission requires an app or Shortcut; the website offers file and paste imports instead.

Subscriptions

When paid plans open, Stripe will collect payment details on its checkout page and manage subscriptions. PlanAroundMe will store billing identifiers, subscription status and AI credit usage. PlanAroundMe does not receive or store full payment-card numbers.

Essential storage and service providers

Browser storage keeps your organiser and preferences. Account cookies maintain sign-in. We do not currently include advertising trackers or third-party analytics. Fonts are served with PlanAroundMe. Hosting, authentication, payment and AI providers may process connection information and service logs, including outside your country.

Your choices

You can edit or remove tasks, export a backup, and choose whether to use AI. Signing out removes this account’s cached organiser from the browser after you have saved or backed it up. Cloud information remains in your account. Contact support for account or data-removal requests once accounts are open.
